Bringing in your old records
Where do I bring in bills from before I joined?
On the website, open Account → Bring your data. Pick the way that fits what you have:
- Bills still unpaid: upload a CSV file. They keep their old numbers, show in money owed and reminders, and you record payments against them. They are not counted again in your sales or GST.
- Earlier months: read your totals from your GST return files, or type them. They count in the year's turnover and reports, not in that month's GST figures.
- A few individual bills: make each one as a normal invoice with its old date. It takes the next number in your series and counts in that month's sales and GST.
Use one way for any month. A month brought in as totals and then typed in again as invoices is counted twice in your year's turnover.
Can I date an invoice earlier than today?
Yes, back to 1 April of the current financial year (early in the year, up to 90 days back), never in the future. The due date moves with it, so an old unpaid bill shows as overdue. GintiFlow also keeps a record of the day you actually created it. If the date falls in a month whose GST return you've already filed, check with your accountant first, because it means amending that return. If the app won't let you go that far back, update the app.
How do I record a payment I received months ago?
Open the invoice and tap Mark as Paid (on the website, Record payment), then set Date received. The money counts in the month you choose. The date can be anything from the invoice date to today. If you don't see the field in the app, update the app.
Can I upload my client list and price list?
Yes, on the website. Open Clients or Items and choose Upload a list, or go to Account → Bring your data. Save your spreadsheet as CSV first. There is a template to download, and you see a preview before anything is added.
How do I carry on from my last invoice number?
In the app, Profile → Invoice numbers. On the website, Account → Bring your data → Set invoice numbers. You can set your own prefix and the next number.
Invoices
Where are credit notes and debit notes?
They are on the invoice itself. In the app, open the invoice and scroll to Credit and debit notes, then tap Issue credit note or Issue debit note. On the website, open the invoice and use the Credit note or Debit note button. A credit note lowers a bill you have already sent, for goods returned or a discount. A debit note adds to it. A draft has neither, because you can still edit it.
Can I bill a regular client every month without typing it all again?
Yes. Add or edit the client, tick Bills every month and enter the usual amount. In the app, Home → Monthly clients (also on Billing → Clients) shows who has been billed and who has paid this month, and one tap opens a new invoice already filled in for you to check and save. On the website, open the client and choose + New invoice. GintiFlow never makes or sends an invoice without you.
How do I reduce or cancel an invoice I've already sent?
Issue a credit note on it (see above). That keeps the original invoice on record and reduces what the client owes, which is how GST expects it to be done. Only a draft can be edited.
I deleted an invoice by mistake. Can I get it back?
Yes. Open it from your invoice list and choose Restore invoice. A deleted invoice stops counting in your totals, but it stays on record with its payments and its number stays used.
Can I repeat an earlier invoice?
Open it and choose Make a copy. A new invoice opens with the same client and items, dated today, ready to change and save.
Where do I add a discount?
On the invoice form, under Discount (optional). Type it as a percentage or in rupees. It comes off before GST is worked out.
Where do I add a P.O. number or vehicle number?
On the invoice form, open Order & transport (optional). The details print under the dates on the invoice.
How do I add my logo, signature line, terms or UPI QR code?
In the app, Profile → Business details & GST has your logo, the signature line and your terms and conditions. Your UPI ID goes in Profile → Payment details, and a "Scan to pay" QR code then prints on unpaid invoices. On the website these are under Account.
How do I print an original, duplicate and triplicate copy?
On the website, open the invoice and choose the copy when you print or download it. In the app, delivery challans offer the same choice when you share the PDF.
What are "Proof only" and "Reverse charge" on the invoice form?
Proof only is for a paper you need as proof of something. It stays out of your totals, reports and GST. Reverse charge is only for a supply where your client pays the GST directly, and it prints on that invoice. Leave both off for normal bills.
Is there a quick way to bill at a counter?
Yes, on the website: open Fast bill. There is no client to pick. Add the items, choose Cash, UPI or Card, then save and print a slip on an 80 mm or 58 mm printer. Fast bills count in your GST figures. From ₹50,000 without a GSTIN, the customer's name, address and state are needed.
Getting paid
Where can I see who owes me?
On Home, in the app and on the website. Who owes you most names the client to chase first, and Money owed, by age groups what is outstanding by how late it is.
How do WhatsApp reminders work?
Tap the reminder button on an overdue invoice and GintiFlow opens WhatsApp with a message pre-filled, ready for you to review and send. GintiFlow doesn't send messages automatically or on your behalf.
Can I change the wording of my reminders?
Yes. In the app, Profile → Reminder messages. On the website, Account → Business details & GST → Reminder messages.
Can I remind a client about all their unpaid bills in one message?
Yes. Open the client instead of the invoice and use the reminder button there. When they have two or more unpaid invoices, the message lists all of them.
What if a client pays only part of a bill?
Record the amount you received. The invoice stays open and shows the balance until the rest comes in.
GST and other documents
Can GintiFlow work out the GST I owe after my purchases?
Yes, roughly. On the GST tab, add the bills your suppliers give you. GintiFlow then sets the GST you paid on them against the GST you collected, rate by rate, and shows your margin. It is a working figure for whoever files your return. If you add no purchase bills, the GST tab works as before.
Where do I add purchase bills?
In the app, on the GST tab, or Purchase bill under Quick access on Home. On the website, the Purchases tab.
Can I send a quotation or a delivery challan?
Yes. In the app open Billing → Documents; on the website, Quotations & challans. When the client agrees, or the goods are delivered, choose Convert to invoice and the invoice opens already filled in.
Can GintiFlow make an e-way bill?
It makes the file for you. Open the invoice or delivery challan and choose Make the e-way bill file, then upload the file yourself on the government's e-way bill portal to get the bill. You need a GSTIN on your profile for this.
What do I give my accountant?
Download the spreadsheet from the GST tab or from Reports (in the app, Profile → Reports & exports). One file has your sales, your purchases if you added any, and a list of every invoice.
I am under the composition scheme. What do I do?
Tick I am under the GST composition scheme in Business details & GST. Your invoices then print as a Bill of Supply with no GST charged.
Does GintiFlow file my GST return?
No. The GST tab (and GST on gintiflow.com/app) lays out each month's sales the way the GSTR-1 return asks for them, and you can download it as a spreadsheet for your accountant. Filing stays with you or your accountant.
Your account and plan
How do I sign in?
GintiFlow supports Sign in with Apple, Google Sign-In, or an email address with a password. You can use any of them — your data stays with your account regardless of which you choose.
Do I need to enter a phone number?
No. Adding your own number to your profile is optional — it's only used to put on your invoices. Client phone numbers are separate, and are only used for the WhatsApp reminder feature.
What's the difference between Business and Personal mode?
Business mode is for getting paid: invoices, clients, your item list, credit notes and a monthly GST summary. Personal mode is for your own money: goals, portfolio, budget and all the calculators. Switch from the Mode row on Profile, or from the chip on Home in Personal mode.
Can I run more than one business from one login?
Yes, up to 3. In the app, tap your business name at the top of Home to switch or add one. On the website, use the business name in the top bar, or + Add a business on your Account page. Each business has its own clients, invoices and GST details.
Can I make an invoice without signing up?
Yes. The free invoice generator makes a PDF with no account. It isn't saved anywhere, so sign up if you want to keep your invoices and track who has paid.
What do the plans include?
Every new account gets everything for its first 3 months. After that, the free plan will cover up to 20 invoices a day, 100 a month and 50 clients, with reminders and all the money tools. Paid plans raise those limits and include the monthly and annual reports and exports. Saved items are unlimited on every plan. Paid plans are not on sale yet, so there is nothing to pay today. Until they are, everything is free for everyone with no limits, and we'll remind you 7 days before your free period ends.
How do I cancel my subscription?
Subscriptions are managed by the app store, not inside GintiFlow. On iPhone: Settings → your name → Subscriptions → GintiFlow. On Android: Google Play → Profile → Payments & subscriptions → Subscriptions. Cancel there and Pro stays active until the end of the period you've already paid for; your data is kept, you just lose access to reports and export until you resubscribe.
I paid but the app still says "Upgrade to Pro"
Pro can't be bought yet, so no payment should have been taken. If you were charged anything, email support@gintiflow.com with the receipt and we'll sort it out. Once Pro is on sale, Profile will have a Restore purchases option for reinstalls and new phones.
How do I delete my account?
In the app, go to Profile → Privacy & data → Delete my account. On gintiflow.com, go to Account → Delete account. Either permanently removes your data and can't be undone. You can also email privacy@gintiflow.com to request deletion. Full details: what's deleted and what's kept.
I found a bug
In the app, Profile → Report a problem opens an email to us with your app version filled in. Or email support@gintiflow.com directly with what you were doing and what happened — a screenshot helps a lot.
